Checklist for Managers Approving Overseas Travel on UTS Business

Approval:
1.   Approval and insurance extensions

Obtain a Staff Overseas Travel Form (PDF) from the staff member. This will ensure staff are covered under the terms of the UTS insurance policy.

Obtain a Leave Application if required.

Recommend Private Travel Insurance if required.

Ensure that funds are available.

Keep a copy of the Travel Application form as a register of staff overseas.

Download a copy (or print off a copy from the FSU website) of the Overseas Travel Emergency Card (PDF) for the staff member, including Faculty/Department contacts from the FSU travel website.

2.  Exemption from Dept. of Foreign Affairs & Trade (DFAT) Travel Advice

Ensure travel is in line with DFAT travel advice and the UTS Risk Management and Overseas Travel Guidelines.  DFAT provide travel advisories reflecting their assessment of the security situation in countries abroad.

Do not permit staff to travel to or remain in level 5 countries (if DFAT's advice recommends that Australians are 'advised not to travel' or similar).

Provide specific exemption from the Dean/Director for staff wanting to travel to or remain in level 4 countries (if DFAT's advice is to 'reconsider your need to travel' or similar).

Use the Risk Managment Assessment to decide if travel is essential. Print a copy of the exemption and retain with the copy of the Travel Application.

Implement any additional risk management strategies required.
